Actions

An action has the following details:

  • Number - The unique identifier of the action. This information cannot be edited.
  • Name - The plain name of the action. Displayed on action lists (e.g., call, lap dip, printing, ...).
  • Responsible Person - The owner of the action. Uncompleted actions are visible on the dashboard of the action owner.
  • FIXME: Factory -> Public - Public actions are visible in partner interfaces, e.g., on the factory page of the purchase order. Currently, the public setting has no significance for actions other than purchase order actions.
  • Estimated days before Exw factory - Visible only for purchase order actions. The estimated completion date is tied to the production completion date.
  • Estimated completion - The estimated completion date of the action. If the date is passed before the action is approved, the action is shown as overdue.
  • Public information - Additional information about the action that is visible to everyone, including potential partners through their pages (e.g., purchase order factory pages).
  • Internal information - Additional information about the action that is internal to the company.
  • Completed (factory) - The completion date of the action. Used if the execution and approval of the action are performed by different people. If only one completion mark is needed for the action, the approved date is used.
  • Approved - The approval date of the action.
  • On the Action page, other actions related to the same customer, purchase order, sales order, offer, or purchase order line are displayed. You can also add a new action to the aforementioned items by pressing the Add Action button.
  • From the Actions list, you can mark actions as completed and approve them.

An action has general features: discussion, attachments, and history.


ACTION LIFECYCLE

The lifecycle of an action includes the following stages:

  • The action is created. The action can be created for oneself or for another employee.
  • The action remains on the dashboard until it is done. If the action has an estimated date, overdue actions are highlighted.
  • The action is marked as done. The action remains on the active actions list on the dashboard.
  • The action is approved. The action moves from the active actions list to history.
  • The action is returned to active. The action can be returned to active by editing the action and removing the done/approved date.
  • The action can be deleted from the action page. In this case, the action is permanently removed from the system.
  • The action can be transferred to another person by editing the action and changing the responsible person.

CUSTOMER ACTIONS

Customer actions can be used to track the progress of the customer relationship and the actions taken. The action can be related to interaction with the customer, e.g.,

  • call,
  • meeting,
  • email, etc.

The action can also be internal to the company, e.g.,

  • check prices,
  • contract template, etc.

Internal action can be a reminder for oneself or a request to another employee.

Unapproved customer actions are visible on the dashboard of the action owner. All customer actions are visible on the customer page. On the customer search page, the next action to be taken or the most recent action taken is displayed for each customer.


OFFER ACTIONS

Offer actions can be used to track the progress of a longer offer process. Offer actions can be related to interaction with the customer, e.g.,

  • call,
  • lunch meeting, etc.

The action can be internal to the company, e.g.,

  • check prices,
  • create project template, etc.

The action can be created as a reminder for oneself or as a request to another employee. Unapproved offer actions are visible on the dashboard of the action owner. All offer actions are visible on the offer page.


SALES ORDER ACTIONS

Sales order actions can be used to track the progress of actions related to the entire sales order. Actions can be related to interaction with the customer, e.g. training session.

The action can also be internal to the company, e.g. notify the customer about the shipment.

The action can be created as a reminder for oneself or as a request to another employee. Unapproved actions are visible on the dashboard of the action owner. All sales order actions are visible on the sales order page.

There can also be actions on the sales order line. Sales order line actions are directly related to the handling of the order line, e.g., printing or labeling.

If there are open actions on the sales order or sales order line, the order cannot be shipped, but it remains in the status of open actions. When all open actions on the sales order and sales order lines are approved, the order moves to the status of ready to be shipped.

The sales order can be in the "open actions" -status also if products from a block order have been taken into the sales order, and these products have open actions.


PURCHASE ORDER ACTIONS

Purchase order actions can be used to track the progress of production and the purchase order. Actions can be, for example, a sample. Unapproved actions are visible on the dashboard of the action owner. All purchase order actions are visible on the purchase order page.

There can be actions on the purchase order line. Purchase order line actions are directly related to the handling of the order line, e.g., printing or labeling.


ACTIONS ON THE DASHBOARD

User's own, open actions (responsible person = user) are visible on the user's dashboard. By default, five actions are displayed, but the list can be expanded to show all open actions by pressing the Show All link. New actions can also be created from the dashboard for oneself or others.


Action Search

Actions can be searched with the following criteria:

  • Responsible person: search actions based on the responsible person.
  • Source: search actions based on the source.
  • Status: search actions based on the status.
  • Estimated completion (start date): search actions whose estimated completion date start is after the selected date.
  • Estimated completion (end date): search actions whose estimated completion date start is before the selected date.

Search results show actions that meet the search criteria.
